The three parts of a repair invoice

After a breakdown, a heating engineer's invoice reads in three lines: the call-out, the working time and the parts. The call-out covers the technician coming with his van and tools; it is given on the phone, before he sets off.

Working time starts on arrival: diagnosis, measurements, dismantling, repair, restart and tests. Beyond the first hour it is counted by the quarter hour, so a fault found quickly costs less than one that hides.

Parts are listed one by one with their reference. The technician tells you which one needs changing and what it costs before fitting it; if it is not in the van, he offers to come back once it has arrived.

What makes a repair cost more or less

The age and make of the boiler matter a lot. A common part for a recent Vaillant or Bulex is at the wholesaler; for a thirty-year-old appliance you sometimes have to look for an equivalent or give up on the repair.

Access counts too: a boiler in a narrow cupboard, in the attic or in a building plant room takes longer than a wall-hung boiler in a kitchen. A shared plant room is rarely repaired in an hour.

Then there is the timing: in the evening, at night, on Saturday and Sunday a supplement applies. It is given on the phone, so you can choose between coming now and an appointment on the next working day.

The price of a boiler service

A service is the easiest visit to price: it depends mainly on the fuel and the type of appliance. The price is given when you book, for a wall-hung gas boiler, a floor-standing boiler or an oil boiler.

An oil boiler takes more work: brushing the combustion chamber, replacing the nozzle and filter, adjusting the burner. A gas boiler that has not been opened for years also takes longer than one serviced every year.

The price includes the cleaning, the checks, the combustion analysis and the attestation. If a wear part has to be replaced, the technician tells you and you decide. The details are on our page about boiler service cost.

Installing or replacing a boiler: the quote

For a new boiler, the price is never given on the phone. The technician comes to see the plant room, the flue, the radiators, the gas supply and the space available, then gives you a detailed written quote.

The quote covers the appliance, removing the old one, the connections, adapting the chimney or the balanced flue, commissioning and the documents. What is not in the quote is not invoiced without your new agreement.

The VAT rate depends on your home and the type of works, and the quote shows it clearly. The person preparing it also explains the options, such as a heat pump or a hybrid boiler.

How to avoid nasty surprises

Be wary of a very low price given without a single question about your appliance: the difference often reappears on site, as supplements or parts. A serious heating engineer asks questions before coming.

Always ask for a signed job sheet and an invoice in the company's name, with its company number. You need them for the manufacturer, for your insurance and when renting.

Send a photo of the boiler label and of the code shown. With the make and model, the office can tell you more precisely what to expect, and the technician comes with the right parts.

An example: a boiler that keeps locking out

A customer calls about a wall-hung gas boiler that locks out two or three times a day. On the phone we give him the call-out cost and ask for the code and a photo of the label.

On site, the technician measures and finds a worn ionisation electrode and a dirty condensate trap. He explains both and gives the price of the electrode; the customer agrees, and the trap is cleaned at the same time.

The invoice shows the call-out, the time spent and the electrode. The customer keeps the job sheet and learns that a yearly service would probably have prevented the fault: it is noted for next year.
